University Record Keeping Plan

The University of Western Australia, along with other state government organisations, was required under the provisions of the State Records Act 2000 to submit a draft Record Keeping Plan (RKP) to the Director of the State Records Office for assessment and approval by the State Records Commission.

The University submitted its draft plan on 4 March 2004. The plan has now been cleared and will be formally approved when a revised Records Disposal Authority for Student Records has been submitted and approved by the SRC. This is expected to occur in early 2005.

The RKP was developed in consultation with the University community and when approved by the Commission, will be binding on the University and its employees.

The RKP aims to ensure that the University has in place sound record keeping practices for the management of its records and that such practices comply with the principles and standards issued by the Commission. These principles and standards, amongst other things, require that an organisation properly and adequately records the performance of its functions. The RKP also identifies where improvements can be made to record keeping practices and sets out targets for their implementation.

Included in the RKP is the undertaking to ensure that the University’s Annual Report demonstrates that it is meeting the requirements identified in the plan, especially in relation to there being effective training and induction programmes about record keeping roles and responsibilities.
