Research Services Scanning Note

The Research Services Scanning Note can be printed out, and attached to the front page of correspondence you are sending to University Records for scanning. 

Please note that you only need to use this form if you wish to inform University Records of any extra details (e.g. proposed file title, additional notes, change in security, workflow etc).

Scanning Tips!

  • Always write the File number on the top right hand corner of every document you send to Records.  By doing this, we know which Research file to save your documents into.
  • Use the Research Services Scanning Note to inform University Records of any additional information when registering the document into TRIM.
  • Avoid using dark coloured paper (e.g. dark green or dark blue).  Dark colours are difficult to scan and often take twice as long to process.
  • Write any comments on documents clearly, with a black or blue pen.  Avoid using pencils or light coloured pens which are difficult to scan.
  • Please do not print emails or electronic documents for scanning.  Remember, you can save these straight into TRIM yourself.
